Expeditor - Supply Chain

Position Overview - Role: Expeditor - Location: Qatar (Head Office) - Experience Required: 3 to 5 years of experience in expediting, logistics, inventory management, or procurement, ideally within the oil and gas, energy, mining, or heavy industrial sector. What You Will Bring - Education & Qualifications: Bachelor degree in supply chain management, Logistics, or a related field (preferred). - Technical & System Proficiency: Proficiency in ERP systems (e.g., SAP, Oracle) and MS Office Suite (Excel, Word, PowerPoint). Knowledge/experience with international logistics, trade controls, freight forwarding processes, and import/export documentation is a strong advantage. - Operational Capability: Ability to work effectively under pressure in fast-paced offshore and onshore operational environments supporting multiple operations simultaneously. - Key Competencies: Proactive and solution-oriented approach, high sense of accountability and urgency, strong teamwork and collaboration capabilities, and extreme attention to detail for documentation compliance. KEY RESPONSIBILITIES: 1. Expediting & Order Management - Monitor, track, and follow up on all purchase orders (POs), shipment schedules, and delivery commitments for materials, equipment, and services. - Communicate regularly with vendors, suppliers, and internal stakeholders to expedite critical items and resolve delays. - Review supplier lead times, delivery performance, and logistics plans to identify risks and initiate corrective actions proactively. - Coordinate closely with Procurement and Project teams to prioritize urgent or project-critical materials for offshore/onshore operations. - Maintain accurate and up-to-date expediting records, including PO status, shipment updates, and vendor correspondence within the company ERP system. 2. Freight Forwarding Coordination (GDI Focal Point) - Act as the primary liaison between GDI and appointed freight forwarders for all shipment movements, ensuring compliance with contractual and operational requirements. - Preliminary Invoice Review - Verify freight forwarder invoices for accuracy of PO references, correct rate application, and supporting documents. - Invoice Corrections Process - Return invoices requiring corrections to freight forwarders with clear comments. - Validation - Upon verification, issue validation confirmation and authorize submission via the GDI invoicing portal. - Monitor freight forwarder KPIs to ensure contract compliance and service quality. - Track shipment milestones using freight forwarding tracking systems and ensure timely reporting and Goods Receipt Note completion. 3. Logistics & Operational Support - Support logistics planning for inbound/outbound shipments, customs clearance, packaging requirements, and delivery to various GDI locations. - Assist in resolving delivery discrepancies such as shortages, damages, incorrect documentation, or late arrivals. - Ensure that all logistics and expediting activities align with company policies, HSE regulations, and contractual obligations. 4. Reporting & Continuous Improvement - Prepare periodic expediting reports detailing delivery performance, delays, risk areas, and mitigation actions for management review. - Contribute to continuous improvement initiatives within the supply chain, including process optimization, performance enhancement, and cost-saving opportunities. 5. Ethics & Compliance / Trade Controls - Understand and ensure adherence to legal, regulatory, and corporate governance requirements, including maintaining oversight and compliance to Trade Controls requirements.
