Job description

Prepare and manage sales quotations, pricing calculations, and technical-commercial clarifications for spare parts, repairs, maintenance, and service-related activities. Manage Order Desk activities, including order processing, purchase order placement, commercial approvals, order tracking, delivery coordination, invoicing, payment follow-up, and the management of customer claims and returns to ensure timely resolution. Coordinate end-to-end logistics activities, including shipment planning, tracking inbound and outbound shipments, and liaising with GEA factories to ensure timely order execution and delivery performance. Prepare, verify, and maintain import/export documentation in compliance with customs regulations, customer requirements, and company procedures. Coordinate with GEA factories, suppliers, and internal stakeholders to ensure timely execution of orders and customer requirements. Monitor order backlog and proactively follow up with customers, suppliers, and GEA sites to support timely order conversion and delivery performance. Review customer contracts, terms and conditions, and provide operational support to the Service Sales team in day-to-day business activities. Administer ERP and CRM systems (SAP, C4C, or equivalent) and maintain accurate customer, order, service, and installed-base records. Prepare and maintain reports, forecasts, backlog analyses, and business performance metrics to support management decision-making and operational planning. Monitor outstanding receivables and coordinate with Finance to support timely collections and cash flow management. Act as the primary point of contact for customers regarding quotations, order status, deliveries, and service-related inquiries. Contribute to continuous improvement initiatives to enhance operational efficiency, service quality, and customer satisfaction. Minimum 2-5 years of experience in order management, customer service, logistics coordination, spare parts operations, or service support within an industrial or engineering environment. Experience working with ERP and CRM systems such as SAP, C4C, or similar platforms. Good understanding of import/export regulations, shipping documentation, and international logistics processes. Proficiency in Microsoft Office applications, particularly Excel. Good financial understanding of invoicing, receivables, and payment follow-up, with strong problem-solving and coordination skills. Highly organized, accurate, and detail-oriented, with the ability to manage multiple priorities and meet deadlines.
